Your privacy is very important to us.  This policy outlines how Calm and Collected Spaces collects and uses your personal information.  

The type of personal information we collect

We currently collect and process the following information:

  • Names, email addresses, postal/physical addresses, social media account names, and telephone numbers so that we may communicate with you about your requirements.
  • ‘Before and after’ photos of work undertaken may be taken, with your consent. 
  • Information about your requirements (the work you have contacted us to discuss or asked us to carry out).  
  • Testimonials that you may provide to us following completion of work.   

How we get the personal information and why we have it

  • Most of the personal information we process is provided to us directly by you so that you may communicate with us regarding your requirements and so that we may facilitate work instructed by you. 
  • We may also receive personal information indirectly, from other parties that may be working with us, or for you, on your requirements.  
  • We use the information that you have given us in order to facilitate work to meet your requirements such as, responding to your enquiry, arranging a visit to your home to assess your requirements or arranging for a contractor to carry out other works for you (i.e.  removal of waste).  
  • We may share your information with other parties or contractors that are arranged by us on your behalf to carry out specific tasks related to your requirements (i.e. removal of waste).

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  • We have a legitimate interest.

How we store your personal information 

Your information is securely stored by us in password-protected software systems.  Access to the systems is via mobile and laptop devices that are also password-protected.  

Records of enquiries for will be kept for one (1) year and records of work undertaken (including the initial enquiry) will be kept for seven (7) years. We will then dispose of your information by deleting it from our systems.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information. 
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
  • Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.  Please contact us if you wish to make a request.
